The Administrative Assistant will play a key role in supporting the daily administrative and clerical functions of our manufacturing facility. This position involves coordinating with various departments—including production, logistics, and sales—to perform a variety of tasks including data entry, order processing, freight scheduling, inventory reconciliation, and front desk reception duties. This is a dynamic role well-suited for someone who is organized, detail-oriented, and comfortable wearing multiple hats in a fast-paced environment.

Key Responsibilities:

  • Perform accurate and timely data entry into internal systems and spreadsheets.

  • Assist with order processing, ensuring orders are entered, tracked, and fulfilled accurately.

  • Coordinate with logistics partners to schedule freight pickups and deliveries.

  • Assist in inventory reconciliation by helping to track, review, and correct discrepancies.

  • Manage paperwork processing, including filing, document scanning, and records management.

  • Provide light reception duties, such as answering incoming calls, greeting visitors and vendors, and directing truck drivers to appropriate docks or contacts.

  • Communicate clearly with internal departments and external partners as needed.

  • Support special projects and administrative needs across departments as assigned.

Qualifications:

  • High school diploma or equivalent; additional administrative training or coursework is a plus.

  • 1–2 years of experience in an administrative, clerical, or office support role (manufacturing experience a plus).

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Strong organizational and time management skills.

  • Excellent verbal and written communication skills.

  • Ability to prioritize tasks and adapt to changing priorities.

  • Friendly and professional demeanor with a customer-service mindset.

  • Comfortable working in a manufacturing/warehouse office environment.

Work Environment & Physical Requirements:

  • Office-based position located within a working manufacturing facility.

  • May require occasional movement between office and production/warehouse areas.

  • Must be able to sit or stand for extended periods and lift light office supplies (up to 20 lbs).

Compensation: $25 to $27 per hour 

Schedule: Full-time, Monday through Friday 7am-3:30pm with OT available
